The empathy advantage: Stand out with caring customer service

By understanding and connecting with customers on an emotional level, organizations can create memorable moments that foster brand loyalty and advocacy. What is empathy?

First thing’s first. Let’s start by defining empathy. To have empathy means to genuinely understand and share someone’s emotions and experiences. It’s more than sympathizing or showing compassion. Empathy enables team members to connect with customers on a deeper level, creating a sense of trust and satisfaction that goes beyond resolving their immediate needs.

Unconventional ways to cultivate empathy

Empathy is important for a number of reasons. It shows you see and hear your customers and that you understand where they’re coming from. More than half of people say they have stopped buying from an organization because of poor communication. And 17% of those said the communication they experienced lacked sensitivity. The good news is, empathetic communication is a skill that can be taught. Embrace these creative and uncommon approaches to foster empathy in customer interactions.

Art and creativity

Encourage reps to engage in art therapy techniques. Expressing their emotions through art can help them develop a deeper appreciation for peoples’ feelings. Kickstart this therapeutic approach by providing team members with a stress relieving adult colouring book. Or give out plant kits that remind employees to “dig deep.”

Role reversal

When customer service reps experience what it's like to be on the other side of the encounter, they gain firsthand insight into the challenges and frustrations customers experience. Role-reversal exercises can help deepen empathy by immersing reps in someone else’s perspective, enabling them to better understand customers’ needs and emotions.

Create simulated scenarios where representatives can step into customers' shoes. Virtual reality or gamification can create a realistic and impactful experience. As a bonus benefit, these exercises can also provide valuable glimpses into the customer journey.

Defuse difficult situations

Empathy becomes particularly valuable when handling challenging customer situations. When dealing with people who are upset, an empathetic response can help mollify tense moments. When customers sense there’s a genuine willingness to understand and address their concerns, they’re more likely to step back and listen themselves.

Remind team members to stay calm when dealing with dissatisfied customers. A lavender-scented candle, imprinted with a calming mantra, is a great aid to help them remember to take a deep breath.

Look over past chat transcripts or phone calls to find good examples of reps who have successfully handled unhappy customers. Share with your team to inspire and provide valuable insights for handling difficult interactions.

The impact of empathy extends beyond individual customer interactions. Organizations that prioritize empathy cultivate a strong brand perception and reputation. Customers remember and appreciate empathetic experiences, and they prefer to do business with organizations that show empathy. In fact, 73% of people say customer experience is a deciding factor in choosing which companies to buy from.

Remind top reps that their stellar behaviour makes a difference by giving them star stress relievers. Every time they see this token of appreciation, they’ll be encouraged to keep up the good work. Reward reps who get good reviews with a wave art glass award they can proudly display as a reminder of the ripple effects of their empathy.
